State Association Semi-Annual Meeting
The Washington State Elks Association will conduct its Semi-Annual Meeting at the Double Tree by Hilton, Seattle Airport, starting Wednesday, January 15th. The registration form and tentative agenda are attached. Every effort has been made to maximize the available training for Officers and Committeemen and to make our semi-annual meeting more enjoyable.
Rooms can be reserved at the convention rate of $136.88 which includes tax. There is a $25 per night charge if you want a mini-refrigerator and it will be added to your bill at checkout. If additional items are needed for the hospitality rooms, they must be ordered through the Convention Chairman 2 weeks prior to arrival and will be added to the charges for your room. All hospitality rooms will be assigned to the same area. Individuals operating Hospitality Rooms should complete one form as the individual Elk member and another form for the reservation of the Hospitality Room. Please note: The hotel has a “No Pets” policy. For those not staying at the hotel, parking is $10 per day.
ALL REGISTRATION FORMS MUST BE IN OUR OFFICE BY TUESDAY DECEMBER 3RD so that we can properly report rooms, meals, and meeting space needs to the hotel by their contract date. The registration fee is $40 if your registration is in the office by December 3rd. Our office will continue to accept late registrations from December 3rd through December 27th with a $55 registration fee; however, there is no guarantee rooms will be available. If you have not registered for convention by December 27th, you may register at convention and arrange for your accommodations.
REFUND POLICY: Full refunds of your registration fee, meals, and room will be given if you notify the WSEA Office by phone and speak with a staff member regarding your cancelation by January 7th. After that date, only your hotel room will be refunded if you contact the WSEA office 48 hours before check-in. The staff will not be in the office after 3:00 pm January 14th. After that date, you will need to contact the hotel to cancel your reservation. Please take note of the date, time, and person you spoke with at the hotel in case the hotel does not credit your deposit to the WSEA on the master bill. If your room was cancelled 48 hours in advance, the WSEA will receive a hotel refund on the master bill and will send you a check for the room deposit refund. Refunds will be mailed out at the end of January.
